How a workspace fits together: the licences, the roles, the scopes, and the modules that sit on top of them.

Getting started

  1. Create the workspace

    Start a trial. The account you sign up with becomes the workspace Owner. Pick the modules you want first — you can change them later.

  2. Add your locations

    Locations are shared infrastructure rather than a module, and almost everything else can be scoped to them. Add them before you add people, so people can be assigned as you go.

  3. Invite your administrators

    Give them a Console licence. Start with the Admin role and narrow it later with scoped permissions rather than starting broad and hoping.

  4. Import your people

    A CSV import brings in employees with their department, team, manager, job title, cost centre and location. Most of them want a Portal licence.

  5. Put one real thing in

    One contract with a genuine renewal date, or one policy assigned to one department. The product is more convincing with a deadline that is actually approaching.

Licences and roles

OwnerConsole The billing and ultimate-authority account. Exactly one per workspace; it cannot be demoted or duplicated.
System AdminConsole Full administration of the workspace short of billing. Only an Owner or another System Admin can appoint one.
AdminConsole Day-to-day administration. Defaults to a sensible subset; switch to custom mode to grant exactly what is needed and no more.
EmployeePortal A member of staff responding to work addressed to them.
ParticipantPortal The same portal access as an Employee, with one exception: a Participant cannot pre-register a visitor. Use it to distinguish people who take part in workflows from those who also host guests on site. Everyone on a Portal licence is a member of your workspace; kitset.io has no seat for people outside your organisation.

Scoping access

Four scopes, and each one means something different.

Workspace

Everything of that kind, everywhere. The default for most permissions.

Location

Only records assigned to the named locations. Records with no location are visible to everyone who holds the permission.

Department and Team

Only people in that department or team. These scopes apply to people permissions; they are refused for module permissions, where they would match nothing.

All-locations access

A flag on a Console user that lifts location scoping entirely. Nobody can grant it to themselves.

Track subscriptions, vendor contracts, owners, spend, renewals and cancellation deadlines.

Know which business systems exist, who owns them and who should have access—without storing secrets.
